Portfolio Administrator
The firm is an SEC registered institutional investment manager founded in 1989 that manages approximately $4B of client assets. The firm provides investment management services to individuals, investment companies, foundations, endowments, pension and profit-sharing plans, trusts, corporations, and estates. The firm has a team of ten professionals, including an operations team consisting of five people. The Portfolio Administrator is a key member of the team that supports the day-to-day operations of the firm. This is an excellent opportunity to engage with and learn different areas of the institutional investment management industry.
Role: Ensure smooth and efficient trade lifecycle and settlement process working closely with custodians, brokers, and clients.
Responsibilities:
- Participate in the portfolio reconciliation process, investigate daily reconciliation exceptions, and resolve any discrepancies with custodians and brokers.
- Process, confirm, and settle trades, maintaining accuracy and compliance with operational deadlines.
- Maintain accurate trade records, client information, and Composite Accounts in the firm’s systems (MOXY, APX, FactSet), in accordance with GIPS standards.
- Provide administrative support to the investment team and assist in preparing various client reports and communication materials.
- Assist in preparing client presentations, due diligence materials, and RFPs for new business.
- Support performance measurement and portfolio management in APX.
- Answer phones and interact with clients by carrying out client requests, including money journals, wire transfers, checks, gifts, retirement account distributions, and other related activities.
- Assist in improving investment operations processes and compliance policies, identifying continuous improvement opportunities.
- Master technologies and tools used in trading and portfolio reporting systems (Moxy, APX, FactSet), ensuring efficient and accurate execution of tasks.
- Assist portfolio managers with trading responsibilities, including implementing investment purchases and sales across accounts using Moxy OMS, ensuring accuracy and compliance with client guidelines.
Skills/Experience:
- Minimum 3 years’ experience in securities/investment industry
- In-depth knowledge of trade lifecycle management and settlement procedures
- Attention to detail and strong problem-solving abilities
- Ability to analyze data and propose resolutions to issues
- Highly organized with excellent communication and multi-tasking skills
- Strong familiarity with trading platforms and reconciliation systems
- Proficiency in financial technologies (e.g., MOXY, APX, FactSet) and Microsoft applications (e.g., Excel, Outlook)
- Client-oriented mindset with a professional and personable demeanor
